All scanning projects include:
- Basic diligence to prevent dust or hairs in scanned images
- Color check against original for accuracy
- Physical items kept neatly arranged
- If rehousing or reorganization is necessary, a plan will be made with client to determine costs (if any)
Supplies for rehousing will be billed to client - Long term storage device for digital files provided by client, or mutually agreed upon option will be part of final invoice.

- If requested, reverse side of prints is charged as a separate scan $0.25 per image, to capture any original handwriting or other metadata printed there
Basic scanning option: $0.25 per photo
- No edits on damage to original (no removal of scratches or color correction)
- Numbering system to organize files (client approved)
- Digital foldering system may align with physical enclosures, as client prefers
- File names will include any hand written details from original photo
Advanced scanning option: $0.50 per photo
- Edits to correct color or damage to original item, such as scratches
- Thorough metadata, as mutually agreed upon with client
- Metadata can be embedded via proprietary software, such as Adobe products
- Metadata can also be created for an online album or similar option
- Assistance in preparing images to be transferred into the client’s cloud storage service (such as Google photos, Apple photos), or other options as negotiated with the client.
Specifications per kind of scanned item:
“Dots per inch” or dpi is used to measure the resolution of an image both on screen and in print.
Photos larger than 3×3 inches: 600 dpi scan
Photos smaller than 3×3 inches: 1000 dpi scan
Slides and negatives: 2000 dpi scan
Pages of printed text: 300 dpi scan with automated Optical Character Recognition (OCR) to make them full-text searchable
Pages with handwritten text: 600 dpi scan.
Transcription of handwritten text available at $25 per hour of transcription work
File type is TIFF by default but can be JPEG or other at client’s request. We can discuss the goals of your project for advice on file type and other long-term storage precautions.
Storage options:
- Google Photos
- Apple Photos
- External Hard Drive (provided by client)
- Cloud account (provided by client)
Security measures for storage at PreservatioNerd office:
- Fire suppression system (wet-pipe sprinkler system throughout the building)
- On-site server and cloud backup of scanned images kept for duration of project + six months
